Why we take photos and video

Photos and video help us celebrate our players, share match days and training, and grow the club. We may use them on this website, on Instagram @portsmouthunitedvc, in news posts, in printed materials, and in the club’s media kit and official photography for partners and the press.

Our principles

• We ask for consent before taking or sharing images of anyone, and we respect a “no”.
• Images focus on the volleyball, the team and the club — not on any one individual in a way they wouldn’t be comfortable with.
• Everyone pictured is appropriately dressed, and we never use images that could embarrass or harm someone.
• Club photos are taken by committee members or photographers approved by the club, and stored securely with access limited to the people who need it.
• We don’t sell images, and we only share them with partners and the press for the uses described here.

Adults (18 and over)

We ask every member whether they’re happy to appear in club photos and video when they join, and you can change your choice at any time. If you’d rather not be photographed, tell the club or the photographer on the day and we’ll make sure you’re not included in images we publish.

Young people (under 18)

Players under 18 are welcome at the club with a parent or guardian present. For anyone under 18:

• We won’t take or publish photos or video without written consent from a parent or guardian. Young people aged 16 or 17 will also be asked for their own agreement.
• We won’t publish a young person’s full name, or any personal details such as their school or where they live, alongside their image.
• We won’t tag young people in images on social media.
• Official photographers never have unsupervised access to young people.

Match days and spectators

Our home matches are public events and spectators are welcome to take photos for their own personal use. We ask everyone to:

• be respectful, and not photograph anyone who has asked not to be;
• avoid sharing images of other people’s children online without their parent or guardian’s permission;
• not use flash during play;
• never take photos or video in changing rooms or toilets.

Other venues and the league may have their own rules on photography, which we follow when we play there.

Official photographers

Photographers working for the club are approved by the club and made known to the team on the day. They follow this policy, and images they take are owned by or licensed to the club.

Partners and the press

Photos supplied through our brand portal or media kit may be used for editorial and partner purposes only, with the credit “© Portsmouth United Volleyball Club”. They must not be edited to change their meaning, used in a way that could embarrass the people in them, or used to name or tag anyone under 18.

Changing your mind

You can withdraw consent for yourself, or for a young person you’re responsible for, at any time by emailing puvc2022@gmail.com. We’ll stop using the images in anything new and remove them from the club’s website and social media where we can. Please bear in mind that images already printed, or shared by other people, can be hard to recall.

How long we keep images

We keep club photos and video for as long as they’re useful for promoting the club and recording its history, and review them each season. Images are deleted when consent is withdrawn or when they’re no longer needed. Photos are personal data — see our privacy notice for your rights under UK data protection law.

Concerns

If you’re worried about how an image of you or a young person is being used, please speak to our Welfare Officer, Hugo Nascimento, or email puvc2022@gmail.com. We follow Volleyball England’s safeguarding guidance. If you think a child is in immediate danger, call 999.

Reviewing this policy

The club committee reviews this policy each season, and whenever guidance from Volleyball England or the law changes.
